Contract: Full-time, permanent (37.5 hours per week)
Salary: £48-50k
Role Purpose
2buy2 is seeking an experienced Operations & Automation Lead to take ownership of our operational systems, reporting, and process improvement agenda.
This is an exciting, senior, hands-on individual contributor role designed for someone who thrives in a small-business environment, is highly autonomous, and is comfortable moving between strategic problem-solving and day-to-day operational delivery.
The role will play a central part in our AI and automation transformation, working closely with the Head of IT and Digital Experience to identify opportunities where automation and AI can significantly reduce manual effort, improve data quality, and enable our people to focus on higher-value work.
The postholder will also support client-facing innovation where operational systems and AI intersect. You will be part of a small close-knit team and require strong ownership, influence, and the ability to lead change through expertise and collaboration.
Key Responsibilities
Operations & Process Improvement
- Take ownership of core operational processes across the business, identifying inefficiencies, risks, and gaps.
- Design and implement practical improvements to workflows, documentation, and controls.
- Maintain and evolve our Document Management System and operational SOPs.
- Act as a trusted operational problem-solver for colleagues across the organisation.
Reporting & Data
- Own and improve operational reporting using Excel, PowerBI, Metabase, and other related tools.
- Support financial and operational reporting, including forecasting and analysis within Workday Adaptive Planning.
- Ensure data accuracy, consistency, and usability across systems.
- Work with stakeholders to translate reporting requirements into clear, actionable outputs.
Automation & Systems
- Design, build, maintain, and improve automations using n8n (and comparable tools where appropriate), or AI assisted coded solutions.
- Own operational integrations between systems (CRM, reporting, finance, document management, and other platforms).
- Proactively identify automation opportunities that reduce repetitive, manual, or error-prone tasks.
- Ensure automations are robust, well-documented, monitored, and continuously improved.
AI Enablement & Transformation
- Play a key delivery role in 2buy2’s AI transformation programme.
- Identify and implement near-term AI “quick wins” that improve staff productivity.
- Support the rollout of AI-enabled workflows and agents that allow staff to increase efficiency.
- Contribute to the design and delivery of AI-enabled client-facing services where operational systems are involved.
- Help embed safe, ethical, and practical AI use across the business.
Systems Ownership & Collaboration
- Act as the operational owner for core systems such as SugarCRM and related platforms.
- Liaise with external vendors and partners where specialist system support is required.
- Support system changes, upgrades, and help identify new implementations from an operational perspective.
- Provide hands-on support for day-to-day system administration and issue resolution when needed.
- Maintain ownership and awareness of GDPR processes and UK legal requirements related to data handling, storage, and access.
Skills & Experience
Essential
- Proven experience in a senior operations, systems, or process improvement role within a small or medium-sized organisation.
- Strong hands-on experience with automation tools (e.g. n8n, Make, Power Automate, Zapier, or similar).
- Solid understanding of business process design and continuous improvement.
- Experience working with CRM systems and operational data/reporting tools.
- High level of autonomy, ownership, and comfort working with minimal supervision.
- Strong analytical skills and attention to detail.
- Excellent written and verbal communication skills, with the ability to explain technical concepts to non-technical colleagues.
- Project management or process improvement qualifications (formal or informal).
Desirable
- Experience supporting or delivering AI-enabled workflows or tools in a business context.
- Familiarity with financial planning or reporting systems (e.g. Workday Adaptive or equivalents).
- Experience in professional services environments.
- Exposure to data integrations, APIs, or low-code/no-code platforms.
